Version 6 Migration Guide
Your move to Version 6 , clearly planned.
You already know HRplus. This guide explains how we carry your Version 5 data into Version 6, how Guided or Turnkey migration works, and how your existing contract and pricing are protected during the transition.
Already using Version 5? Your migration starts with understanding your current setup and deciding what should carry forward, change, or be added.
Carry forward what works. Plan what changes.
Migration begins with your existing Version 5 setup and data. We will review what should move into Version 6, identify corrections that can be made during migration, and distinguish those from new requirements that would materially change the setup. Your agreed approach defines who performs each step.
Start with your current system
Review the modules, data, processes, reports and integrations you use today.
Export and prepare the data
HRplus exports the Version 5 data to be carried into Version 6 under both migration approaches.
Agree the transition
Document the selected approach, data corrections, responsibilities, validation and readiness criteria.
See how your modules relate to pricing
We will map the modules you use in Version 5 to your Version 6 scope. The standard subscription benchmark is based on employees and subscribed modules; your addendum and future contract will state the modules, counts and price that apply to you.
Workforce
Employee and workforce information at the centre of your HRplus setup.
Payroll
Payroll processes and requirements assessed against your current operations and jurisdictions.
Leave & T&A
Leave and time and attendance needs considered together during scope design.
Talent
Discuss the talent processes your organisation wants to support in Version 6.
BI Tool
Business intelligence requirements can be explored and separately scoped and priced where applicable.
Connected work
Reports, integrations and customisations are reviewed individually rather than assumed to transfer unchanged.
The benchmark relates to the core modules shown above: Workforce, Payroll, Leave & T&A and Talent. Your subscription depends on the agreed employee count and modules. Trinidad and Tobago clients may pay the TTD equivalent. Volume discounts may be available only where approved and recorded in the applicable agreement.
This benchmark is for planning, not a client-specific quotation. The agreed module scope, employee count, currency and commercial terms govern your price. The BI Tool, integrations, custom work and other services are scoped separately where applicable.
What migration costs
Guided: Migration and ordinary data corrections are included at no migration charge where the existing setup is not materially changed.
Turnkey: An agreed base allocation of HRplus setup and data migration hours is included at no charge. Additional hours needed to migrate data may be billable and will be agreed before they are used.
Both approaches: Substantially new information, configuration or other material changes are assessed and separately agreed. Additional HRplus-led training is billable.
Your addendum will state the included Turnkey hours, the applicable rates for extra work, and the agreed migration scope.
Your existing price and other contract specifics remain in force for the rest of the current contract period. The migration will be documented in an amendment or addendum to that contract.
We guarantee that the next contract’s pricing will not increase by more than 50% of your current cost within a one-year period. The amendment or addendum and next contract will define the precise calculation, including the baseline, start date, and how added employees, modules, services and one-time charges are treated.
From discovery to live use
Your milestones and timing will be recorded in the migration addendum and implementation plan. In both approaches, HRplus exports the agreed Version 5 data for transfer to Version 6.
Discover
Review Version 5 usage, data, corrections, priorities, integrations and timing.
Agree the addendum
Confirm Guided or Turnkey, scope, included hours, training, responsibilities and any new work.
Export & migrate
HRplus exports Version 5 data. Upload, setup and corrections follow the selected approach.
Train & validate
HRplus trains selected personnel; they train colleagues. Your team performs UAT and confirms readiness.
Two ways to move forward
HRplus exports the Version 5 data in either approach. Guided gives your team hands-on control of corrections and setup, helping them understand the new application as they migrate. Turnkey puts more of the setup and data migration work with HRplus.
Your team learns by doing
HRplus exports the agreed Version 5 data and guides implementation. Your team can upload the data into Version 6, perform data corrections and work through the setup with our guidance.
• See how your data maps into Version 6
• Correct issues directly as they are identified
• Build practical knowledge of your application setup
This approach suits teams that want lasting familiarity and control after go-live.
HRplus handles more of the work
HRplus exports the agreed Version 5 data, performs the Version 6 setup and migrates the data. Data corrections remain possible within the agreed scope.
An agreed base number of HRplus hours is included at no charge. Additional hours needed to migrate data may be billable, subject to advance agreement.
Your team still provides decisions, validates the results and performs UAT.
Train the people who will train your team
For both Guided and Turnkey migration, HRplus trains selected personnel. Those personnel then train the other people in your organisation. Your team performs UAT. Any additional HRplus-led training is billable and will be agreed separately.
Guided migration and ordinary data corrections are included at no charge where the existing setup is not materially changed. Turnkey includes an agreed base allocation of hours at no charge; extra data migration hours may be billable. Substantially new information or setup is assessed and separately agreed for either approach.
